# AI Implementation Specialist for Agencies

Published 2026-10-08 by Sid Jashnani.

What an AI implementation specialist does inside a marketing or creative agency: reporting, onboarding, and drafts. Client judgment stays with the agency.

An AI Implementation Specialist inside an agency builds the workflows the agency repeats for itself and, when you choose, for clients: reporting pulls, onboarding checklists, and first drafts. They do not become the strategist on the account, and they should not send client work without a person at the agency approving it. Placed full time by Rekruuto, the seat starts at $2,500 a month, can start in 14 days, and includes a 1-week trial.

For coordination on a creative production platform, see [creative studio support](https://www.rekruuto.net/creative-studio-virtual-assistant).

The role is the [AI Implementation Specialist](https://www.rekruuto.net/ai-implementation-specialist). If you are unsure the work repeats across clients, take the [AI automation scorecard](https://www.rekruuto.net/ai-automation-scorecard) before you [book a strategy call](https://www.rekruuto.net/va-strategy-call).

## What should they automate first in an agency?

Automate the work that is the same shape on every account. Leave the work that is the reason the client hired the agency.

**A reporting pull.** The specialist connects the ad account, the analytics property, or the CRM you already use and drops the numbers into the deck or the sheet a lead already trusts. A person still writes the "so what." A model can draft the caption under a chart. It should not email the client. The day-to-day job is noticing when a field name changes and the chart goes blank, then fixing the map and noting it.

**Client onboarding.** A new account needs access requests, a folder, a kickoff agenda, and a list of logins that are missing. That is a checklist with owners. A model does not help until the checklist is boringly reliable. Start with the checklist in the project tool you already use. Add a draft kickoff note only after the checklist has run a few times with a human checking the access list.

**First drafts of repeated assets.** A social cutdown, a search ad variant, or a recap email can start from a brief and your examples. The specialist wires the brief into ChatGPT or Claude, or into the API if volume justifies it, and parks the draft where the account lead already reviews work. Nothing publishes itself. Brand voice and claims stay with the agency. The specialist's skill is the checkpoint, not the taste.

Zapier, Make, or n8n is the connective tissue. Pick one. An agency that already lives in a project tool and a CRM does not need a second automation platform per client. If each client brings their own stack, the specialist's first job is a standard adapter, not a custom build for every logo. The worked pattern is the same as the [example workflows](https://blog.rekruuto.net/ai-implementation-specialist-example-workflows): trigger, rule, model only where the text varies, human on the send.

## Who should own the work, the specialist or the account lead?

The account lead owns the client. The specialist owns the workflow. Mixing those roles is how a draft goes out in the wrong voice.

Write this into the job. The specialist may prepare. They may not promise a result, a price, or a timeline to a client. They may not put client data into a personal model account. Workflows live in the agency's accounts, or in the client's accounts when the contract says so. Ask that question before the build. A freelancer who builds inside their own Zapier and then leaves is the failure mode in who maintains automations after launch.

If the agency sells AI as a service, decide whether the specialist is internal infrastructure or part of the client deliverable. Internal infrastructure is the cleaner first hire. You feel the time savings before you productize them. Productizing too early means you are billing for a workflow you have not run for a month.

Price the seat against the backlog, not against a single deck. One reporting project is a freelancer or a consultant. A backlog of onboardings and drafts across retainers is a full-time person. The comparison is [specialist vs consultant vs agency](https://blog.rekruuto.net/ai-implementation-specialist-vs-ai-consultant-vs-agency). Yes, you are an agency reading a page about not hiring an agency for this. The point stands: a project vendor ends. A person on the team keeps the runbooks.

## What is a bad fit?

A bad fit is an agency that wants the hire to be the creative director, the media buyer, and the automation builder. Those are three jobs. A bad fit is also a shop with one client and no repeated process. You will pay for a builder and feed them unique work.

A bad fit is any plan where client-facing messages send themselves in week one. Agencies live on trust. A fluent wrong email is worse than a late email. Keep the human review until the account lead is bored of being right.

Staffing for the non-automation work is a different menu. Design, video, and coordination seats start at $1,800 a month for most roles. See [roles](https://www.rekruuto.net/roles). Do not pay the specialist rate for a seat that is really a [project coordinator](https://www.rekruuto.net/project-coordinator) or a [marketing assistant](https://www.rekruuto.net/marketing-assistant). Use the [skills checklist](https://blog.rekruuto.net/ai-implementation-specialist-skills-checklist) if you need to tell those apart in an interview.

## Frequently asked questions

### What does an AI implementation specialist do at an agency?

They build repeated internal workflows such as reporting pulls, onboarding checklists, and first drafts. Account leads still approve anything a client will see.

### Can they work on client accounts?

Only inside accounts you control, and only on steps you have named. They should not use a personal login or a personal model account for client data.

### Should we resell this in the first month?

No. Run it on your own delivery first. Sell it after a workflow has stayed up and a person who is not the builder can pause it.

### How is this different from hiring another freelancer on the roster?

A freelancer ends with the project. This is a full-time seat for a backlog that does not end. If the work is one build, hire the project.

### What does Rekruuto charge?

The specialist starts at $2,500 a month. Most other roles start at $1,800 a month. The start is 14 days, with a 1-week trial. Tool and model bills are yours.

Bring the one workflow you would want live in every account, and the one you would never automate. That is enough for a [strategy call](https://www.rekruuto.net/va-strategy-call). The role page is the [AI Implementation Specialist](https://www.rekruuto.net/ai-implementation-specialist). The [AI automation scorecard](https://www.rekruuto.net/ai-automation-scorecard) is the ten-question version of the same decision.
